Tip 1.
Check Mailbox Size
To check your mailbox size do the following.
1.
Click on Tools from the top menu
2. Next select Mailbox Cleanup
3.
Click on the first button that says Click here to
see the size of your mailbox.
When the folder size window opens,
you will be able to view each individual folder in your account along
with its size.
The sizes are read in Kilobytes. Every 1,000 kilobytes equals 1 meg.
In sample #4, you can see that the total
size for this email account is 44,339 kilobytes meaning that it is
44 megs large.
Keep in mind that the maximum limit allowed is 75 megs.

Tip
2.
Field chooser
The field chooser will allow you to sort all incoming e-mails by the
fields you choose.
1.
In Outlook, right click on the fields bar located above the
emails in your inbox..
2. Select Field Chooser.
3.
Drag and drop any field you
would like into the field bar.
Note: You can choose to view the size
of all incoming emails by selecting the size field. E-mail size are
read in kilobytes, 1000 kilobytes equals 1 Meg.

3. Save a large
e-mail to your Hard Drive
In Outlook, choose the email you would like to save on your HD.
1.
Select the e-mail
2. Go to File then
Save As.
3.
In the drop down menu select your destination. Please
choose a destination on your local Hard Drive.
4.
Make sure you select .msg
as the file type.
Note: You can hold down the shift key and select a range of
e-mails, or you can hold down the CTRL key to select individual ones.

Tip 4.
Drag and Drop E-mails
A different method to saving your e-mails to the Hard Drive is to
drag and drop them to a designated location.
1.
Right click and HOLD down the mouse button
2. Drag and drop the e-mail message
in your designated location on the c:drive.
3. Select Move Here from the
menu that pops up.

5.
Auto Empty Bin
By default, Outlook does not remove files from the Deleted folder
when you exit the application. To do this:
1. Go
to Tools
2. Click on Options
3. Click on the Other tab
4. Check Empty the Deleted Items
folder upon exiting
When you exit Outlook, you will now
be prompted if you want to empty the Deleted Folder items.

6.
View the preview panel
The preview panel allows you to view a portion of the email without
opening it all the way.
To enable the preview panel
1.
In Outlook click on View.
2. Preview Panel.

7.
Quick E-Mail
If you communicate with an employee
on a daily basis through e-mail then this tip could be of interest to
you.
1. From
your desktop, Right click and choose New
2. Select shortcut
3. Enter
mailto:then email and click next.
4. Enter the name of the person who
you want to recognize this shortcut by.
Note: In step #3 do not include any
spaces. mailto: and the email address need to be together.

Tip
8.
Out of office assistant
You can create an automatic reply for all incoming email messages
while you are away from the office? For example, you could have an
Auto Reply as follows:
I am out of the office the week of August 5th through August 9th.
I will return on August 12th. Please call 333-3333 if you need assistance.
To do this, follow these steps:
1. Click Tools
2. Select Out of Office Assistant
3. Select the I am currently Out of the Office option
4. Type the text
Click OK
Now your automatic reply is set up.
Don't forget to turn it off when you get back to the office.

9.
Keyboard Shortcuts
Once you discover keyboard shortcuts, you may find it tough to use
your computer without them. Here are three important keyboard shortcuts
that you can use to manage e-mail messages in your Outlook Inbox:
" Press CTRL+D to delete the current e-mail message.
" Press CTRL+R to reply to the current e-mail message.
" Press CTRL+F to forward the current e-mail message.

Outlook Web Access
You can check e-mail via the internet through Outlook web access.
Here are the steps to take.
1. Go to www.group1mail.com
2. Click on Access Webmail
3. Select Corporate Group Server
When the logon screen comes up, insert
your username and password and for domain leave this field empty.
